Your transcript is processed to produce your report. It is not used to train or improve any model, ours or anyone else’s.

Sealed testimony, trade secrets, and medical histories do not become training data because you needed a verification pass.

Your transcript and report are retained for ten business days so you can retrieve the deliverable, then deleted. You can request earlier deletion at any time.

You already route transcripts to scopists and proofreaders under the same confidentiality expectations. DepOwl is the same category of vendor relationship: a third party performing a verification pass, with the certifying reporter retaining sole authority over the final record.

DepOwl never certifies anything, never signs anything, and never changes anything on its own.

It doesn’t have to, and usually it doesn’t.

It also means that if your proofreader’s available capacity is filled or they’re on vacation, you can still use DepOwl to get your work done and meet deadlines without having to spend the time and energy finding a temporary replacement. It also means your proofreader can process more work in the same amount of time or less, so turnaround times decrease while maintaining or often improving quality.

Some proofreaders have increased their capacity by using DepOwl to process work they would otherwise have to turn away. Some scopists have begun offering proofreading services as a value-add to their scoping work by using DepOwl after they’ve completed their editing.

Right now, submission is based on the account holder’s email address. A proofreader can submit a job from their account. In our upcoming next phase, we’ll be offering a dedicated account that allows the owner to invite delegate proofreaders and scopists. The delegates would create their own user profile and will then be given limited access to the owner’s account at the reporter’s request.

A normal, text-based transcript PDF.

DepOwl checks the file before processing to make sure it can be read reliably. DepOwl can handle scanned, image-based, or unusually encoded PDFs, but it may increase processing time. It’s rare, but if that happens, we reach out to you directly to let you know the timeline or find a way to work around it.

Generally speaking, it’s usually a simple process of uploading the same clean transcript PDF you’d ordinarily deliver or proof.

Use the normal one-page-per-page version whenever possible.

If a file is condensed — four transcript pages printed onto one PDF sheet — the underlying transcript still contains four pages of work. Billing is based on the transcript pages represented, not the smaller number of condensed sheets.

Condensing a 200-page deposition into 50 PDF sheets does not turn it into a 50-page deposition.

A standard transcript is 48-hour turnaround; an expedite job is 24-hour turnaround, and a daily is overnight turnaround. For our pilot program, we’re offering a reduced rate across the entire spectrum of turnarounds: $0.29 per page for standard, $0.49 per page for expedite, and $0.79 per page for daily.

A reporter who sends one transcript a quarter shouldn’t be buying a seat. A firm shouldn’t have to forecast twelve months of volume to get a fair rate.

DepOwl is built around court-reporting deadlines, not software-industry definitions of “soon.”

Service levels let you choose the turnaround appropriate for the job, including standard, expedite, and daily turnaround times. You pick the deadline when you submit, so you know what to expect before the job begins.

We plan to offer even faster turnaround times as it becomes technically feasible, and we feel confident in our ability to offer that level of service in the near future.

Then you have independent confirmation that a clean transcript survived another pass.

With that said, it’s never happened yet. It’s highly likely DepOwl will find something to review. If you submit the first job we’ve ever processed that comes back with no findings, we’ll refund the entire job and waive the fee.

Our domain expert and founder is a scopist and proofreader with almost 20 years working with transcripts across depositions, trials, arbitrations, hearings and examinations on the record and along with his product and technical skills has been building solutions for litigation professionals for the past 10 years. He still personally reads transcripts at least a few times per week as a method of quality control.
